PROPOSAL 1
I propose to build an online portal for the bill reimbursement of all societies that come under Technology Students’ Gymkhana.
Vision: Complete digitisation in Gymkhana for all official purposes.
Current process for Bill Reimbursement:
1. 10 days before any event, notify your respective PTIS and Secretary about it and submit an approximate expenditure sheet, getting it signed and stamped by any of the General Secretary, Social and Cultural, TSG.
2. After submitting the approximate expenses, make sure that the sheet is verified by the GSec and the concerned PTI, before 7 days of the event.
3. In case of an outstation trip, submit the above-mentioned sheet 10 days before booking the tickets.
4. After the event, make a sheet with the exact expenditure. Attach it with original bills with GST number.
5. Submit this sheet to the concerned PTI within 15 days past the event.
6. The note sheet once approved by the General Secretaries and the concerned PTI it will be forwarded to the Assistant Registrar and the President, TSG and once verified the bills will be reimbursed.
Benefits:
1. Delays in receiving reimbursement from the institute as the entire process is very tedious. An online portal will save the time and efforts of everyone involved.
2. A sophisticated database of all previous records of reimbursement will be maintained, for any future reference.
3. Online process for these formalities will have no time constraints concerning the Gymkhana office hours, thus providing more flexibility to both the students as well as Gymkhana.
Working Details:
1. The portal will be hosted on the local server.
2. Students shall create a User login ID on the portal, the same shall be approved by the General Secretary.
3. A similar Admin login ID shall be created for the Gymkhana officials.
4. Self-attested scanned copies of the bills shall be uploaded on the portal by the respective student on the required dates.
5. The bills will be reviewed by the concerned Gymkhana officials on the portal.
6. Bills eligible for reimbursement shall receive a ‘Verified’ status. If not eligible, suitable comments will be mentioned there, for the student to review and make necessary changes accordingly.
7. Once the bills are verified by the General Secretary and the concerned PTI on the portal, the hard copy must be submitted for verification by the Assistant Registrar and the President, TSG. The verification status would be reflected on the portal. Once verified by all the above, reimbursement shall be initiated.

PROPOSAL 2
Overview: I propose to introduce Online Graphic Design Event in both Open IIT and General Championship. The event shall be introduced under the Fine Arts & Design Cup.
Benefits:
1. Incentives such as a platform to the students interested in graphic designing to showcase their ability and continue excelling in the same.
2. Motivation for students to learn and explore digital arts, a perfect blend of technical skills and creative art, thus encouraging the participation in Inter IIT for relevant events.
3. Addition of a modern event along with other core traditional events under the Cup will help increase the target audience and participation.
Rules:
A) For Open IIT
1. This will be a solo event.
2. Participants need to send their work in the .psd or .ai format along with the .jpeg file of the same, with at least four stages of their work. (The rule may be modified depending on the raw submissions in order to check for the use of vector/stock images)
3. This is a digital design competition wherein participants have to design a painting on a software.
4. Only one entry is allowed per participant and all entries should be sent in a single folder.
5. No vector/stock images from online resources can be used.
6. Theme will be provided 14 days before the Submission deadline. Submissions should be mailed to the Secretary within the stipulated time. No submissions shall be accepted after the deadline.
7. Any sign of plagiarism may lead to disqualification.
B) For General Championship
1. Number of participants per hall is three.
2. Participants need to send their work in the .psd or .ai format along with the .jpeg file of the same, with at least four stages of their work. (The rule may be modified depending on the raw submissions in order to check for the use of vector/stock images)
3. Theme will be provided 14 days before the Submission deadline. Submissions should be mailed to the Secretary within the stipulated time. No submissions shall be accepted after the deadline.
4. No vector/stock images from online resources can be used.
5. There will be a penalty for late submission (10% of the marks scored, for up to 5 mins late and 20% of the marks scored, for up to 10 mins late). Exceeding the time limit by more than 10 mins will lead to disqualification.
6. Any sign of plagiarism may lead to disqualification, up to judge’s discretion.

PROPOSAL 3
Overview: I propose the Furnishing of an Intimate Space Theatre for Socio-Cultural activities so that all the cultural societies and groups can get a proper confined facilitated room for overall year-round activities as per requirement.
Benefits:
1. Improvement of facilities for Socio-Cultural activities such as Inter IIT practice, workshops, competitions, etc.
2. Encouragement to individuals to get involved in Socio-Cultural activities.
3. Commonplace for activities of all Dramatics groups with proper lights and sounds.
4. The ideal venue on campus for Speaking Arts and Open Mic events.
5. Intimate space for practicing Dance choreographies using DMX setup without additional expenses.
6. Central venue for activities of Music societies with the best acoustics on campus.
7. One of a kind location for Film-making activities.
8. A unique venue for all kinds of small crowd events.
Problems tackled:
1. As compared to many other IITs, facilities for cultural activities on campus are not up to the mark.
2. Monetary expenses are involved to avail relevant facilities at Netaji Auditorium.
3. Inadequate facilities at Kalidas Auditorium.
4. No DMX setup available for use on campus, hiring through an external vendor is expensive.
5. Acoustics aren’t good enough for proper musical events at the currently available venues on campus.
6. No well-defined venue for dance practice and related activities.
Working details:
1. Booking process of the room will be identical to that of Sports Library.
2. Process for availing AV Cell facilities identical to that for other venues.
3. The slot user(s) shall take full responsibility in case of any damage to equipment. The student(s) may be punished based on the President’s discretion.
4. Time slots shall be officially provided between 8 am to 11 pm. In case any extension is desired, the General Secretaries may coordinate and get the required permissions approved.
